Top 5 reasons why organisations should use Cloud-Based Leave Management Systems

Leave Management Systems: Are they worth the investment?

Vacation leave is one of those benefits that employees consider to be one the most important, as taking breaks from work can allow for stress reduction. As stress impacts focus, taking a stress-relieving vacation can return focus for the employee, and can allow them to perform at their best.

At the same time, managing leave without the right software can be tricky for managers, as they would want to ensure that the leave process is managed efficiently and correctly, in order to keep employee productivity high.

Reason 1: Cloud-Based Leave systems allow for employees to book leave at any time, and can display real-time leave entitlements

The need to request vacation leave most frequently arises when people are making plans with friends or family, or whilst looking into personal matters after work. Some leave management systems allow for employees to easily login to request leave, no matter where they are, or what time of day it is. With the inclusion of real-time leave entitlements, employees can also plan leave in advance.

Reason 2: Cloud-Based Leave systems allow for managers to approve leave requests from their team members, team quickly and easily

Managers can be responsive to leave requests when notified via email, the software interface allows for managers to log in easy to approve leave from any computer, mobile device or tablet with an internet connection.

Reason 3: Cloud-Based Leave systems can integrate with other systems to reduce administration

Integration between applications is key to better productivity and this is no exception with leave management systems. In the case of a leave management system as part of an HR software suite, it can be integrated with a payroll system to allow for leave entitlements to be displayed on payslips, as well as with a time & attendance system to display when leave was taken by an employee in order to justify their absence.

Reason 4: Cloud-Based Leave systems can generate reports, saving HR teams unnecessary manual work, time and effort

Maintaining the different leave types and leave requests manually can be a daunting task in itself. More so, would be filtering through all of the leave data to provide a report to management. Some Leave management systems feature preset reports that can be extracted and saved with a few clicks of a button.

Reason 5: Cloud-Based Leave systems have smart features built-in to assist with administration and management

Examples of these features include:

  • Multiple approval views, in the form of a calendar or a list for approvers
  • Prioritisation of which leave should be approved first
  • The ability to add standard and custom leave types
  • Stop Leave period functionality
  • Team Request Limits which allow for a set maximum number of employees within the same team to take leave on the same day
  • An end-of-year function that allows for leave to be carried forward to the next year, or paid to the employee.

Note: Features listed in this article vary depending on the leave management system used.
